Cancelling Draft Billing and Re-billing

Use the sales-order Cancel action when an eligible Draft billing order must be withdrawn. Dockit retains the cancelled order and its work-order links as history. Where the underlying work-order items remain chargeable, eligible items can be transferred to replacement billing.

Cancelling a sales order does not cancel its work order, waive the underlying charges, or refund a payment. This procedure is for Draft billing, not finalized invoices or payment reversals.

When Draft cancellation is allowed

The cancellation process checks that:

  • The sales order belongs to your current company.

  • Its status is Draft.

  • It has no linked invoice.

  • Every sales-order line has an explicitly unposted inventory impact. Missing or unverified impact information also blocks cancellation.

The checks run before confirmation and again before the cancellation actions. If a check fails, review the reported issue rather than changing a status or deleting related records to bypass it.

Do not use this workflow to cancel an Open order, reverse an invoice, or return issued stock. Ask the responsible administrator or billing staff member for the appropriate correction procedure.

Before you cancel

  1. Confirm the sales-order number, customer, linked work order, and total.

  2. Review why the Draft is being cancelled and follow your marina's approval procedure.

  3. Check whether the underlying work-order charges still need to be billed.

  4. Coordinate with other staff handling the order so that they do not proceed with it while you are cancelling it.

If the charges themselves are wrong, cancellation alone will not correct the work-order items. Arrange the appropriate reviewed correction before preparing replacement billing.

Cancel the Draft sales order

  1. Open Service Management → Sales Orders.

  2. Find the intended order and confirm that its status is Draft.

  3. Select its row-level Cancel operation.

  4. Read the confirmation carefully. It explains that inventory reservations will be released and existing order lines and work-order links will be retained.

  5. Confirm only if you intend to cancel this sales order.

  6. Refresh or reopen the list and verify that the order now shows Cancelled.

Use the whole-order Cancel action, not an item-level removal icon. The Close button on an order form simply exits that view; it does not cancel the order.

What cancellation changes

The cancellation workflow releases the order's tracked assignments and inventory reservations through the applicable release processes, then sets its status to Cancelled.

It retains:

  • The sales-order record and its order number.

  • The existing sales-order lines.

  • The links back to the work order and its items.

A cancelled order may still display its original amounts. Retaining those amounts and lines preserves history; it does not mean that the order remains current billing.

Cancellation does not remove the work-order items or automatically change their billing treatment. If an item is still marked Charge customer separately, its billing still needs to be resolved.

Prepare replacement billing

  1. Return to the linked work order and select Refresh, or reopen it.

  2. Confirm that the cancelled order is retained in Billing Orders.

  3. Review the work-order items and confirm that the charges are still intended.

  4. Select Prepare Billing when it is available.

  5. Review the resulting Draft order and verify its items, quantities, tax, and total.

  6. Return to the work order and verify the linked billing records. The earlier order should remain Cancelled.

If no suitable current Draft exists, replacement billing creates a new Draft sales order. If an eligible matching Draft already exists, the preparation workflow can reuse it.

Only eligible chargeable items are transferred. A retained link to an explicitly Cancelled order does not block replacement billing, but an existing non-cancelled or unverified link does. Do not recreate the work-order items merely to work around those protections.

After all eligible charges have been transferred, Prepare Billing should no longer appear for those same items. View Billing is available for the current billing where applicable.

If the charge should no longer be billed

Do not prepare another order simply because Prepare Billing is offered. Establish the correct billing decision first.

If the work should be covered elsewhere or waived, follow your marina's approval and correction procedures. Historical billing links can restrict ordinary item editing even after an order is cancelled. Ask your administrator to resolve the record while preserving its history.

Cancelling all linked orders does not make a chargeable work order eligible for no-additional-charge closure. Its item-level billing decisions and other closure requirements still need to be resolved.

Cancellation versus leaving the payment screen

Proceed To Payment can finalize a sales order and create its invoice before payment is collected. Selecting Cancel on the payment-entry screen is not the same as cancelling the sales order.

If you have already entered that workflow, inspect the actual order and invoice status before deciding what to do next. An order that is no longer Draft, or has a linked invoice, cannot use the ordinary Draft cancellation process.

Never record a fictitious payment, delete an invoice, or change a database status to force a cancellation.

Dashboard and closure follow-up

Completed customer work with unresolved chargeable items can appear in Billing Review Required after cancellation. This is expected: a cancelled order does not settle those items.

A replacement Draft also requires follow-up before the work order can close. Review and finalize billing through the normal process when appropriate. Work-order closure remains separate from collecting any outstanding payment.

If cancellation or replacement billing is blocked

  • Cancel is unavailable: Check that you are viewing the correct company's Draft order and using the sales-order list's row operation.

  • A linked invoice is reported: Stop and review the invoice with the responsible billing staff member.

  • Posted or unverified inventory impact is reported: Ask the inventory administrator to review the order before proceeding.

  • Prepare Billing is missing: Refresh the work order and check its status, billing treatments, and current billing links.

  • An existing billing link blocks transfer: Inspect the linked orders rather than deleting the link or duplicating the item.

If an action's outcome is unclear, inspect the records before trying again. Provide your administrator with the work-order number, sales-order number, action attempted, and exact message.
