Use this article when a service action is missing, a validation message blocks progress, or a status or report appears unexpected.
Start by checking the company, work-order number, current status, and whether the work is Customer or Internal. Refresh or reopen the record after changes. Available actions depend on those details, your access, and the record's billing or material-usage history.
A button or action is missing
I cannot find Start Work or Plan / Assign
Check the work-order status. Draft work needs authorization before the operational workflow. Start Work applies to authorized work; completed or closed work uses review and reporting actions instead. Plan / Assign is available for eligible Authorized, In Progress, and On Hold service work.
If the expected action remains unavailable, ask your administrator to review the record and your access. Do not create a duplicate work order to bypass the restriction.
I resumed a job, but it is Authorized rather than In Progress
Resuming restores the recorded pre-hold status. A job placed on hold while Authorized returns to Authorized. Select Start Work when work actually begins. A job held while In Progress returns to In Progress.
The Actions menu only offers View Item
This is expected on a closed work order. Billing links and posted internal usage can also restrict changes to individual items. A retained historical billing link may still prevent ordinary editing even when the linked order is Cancelled.
If a correction is required, ask your administrator how to preserve the history. Do not delete related records or enter duplicates to force an edit.
Billing preparation
Prepare Billing is not displayed
Check that:
The work is for a customer, not internal marina work.
The work order is Authorized, In Progress, On Hold, or Completed, rather than Draft or Closed.
An item is marked Charge customer separately and is eligible for transfer.
The item has not already been transferred to current billing.
Refresh or reopen the work order after changes. Prepare Billing disappears when there are no eligible charges awaiting transfer; View Billing may be available instead.
Dockit says there are no new chargeable items
Review the item treatments and linked sales orders. Included or waived items are not separate charges. An existing current billing link prevents the same item being transferred again.
If you intended to add further work, enter only the genuinely additional item. If an existing charge is incorrect, use the reviewed correction workflow instead of creating a duplicate.
More than one Draft sales order exists
The preparation process blocks the transfer rather than choosing a destination arbitrarily. Ask the responsible billing staff member to review the Draft orders and determine how to resolve them. Do not remove work-order links to bypass the check.
The existing Draft no longer matches the work order
Review the customer, company, currency, and service fulfillment details with your administrator. These must remain consistent with the work order. Do not change identifying fields simply to force a transfer without understanding the discrepancy.
I added another item after billing was finalized
While the work order remains eligible, Prepare Billing can transfer the additional item to a suitable current Draft or create a new Draft. Earlier finalized billing remains linked. Verify that the new billing contains the additional charge, not a duplicate of the earlier work.
Cancellation and payment
I cancelled a Draft order, but it is still listed
This is expected. The Cancelled order, its lines, and its work-order links remain as history. Its original amount may still be displayed.
Cancellation does not waive the work-order items. Eligible chargeable items can require replacement billing and may cause completed work to appear in Billing Review Required.
I cannot cancel the sales order
The ordinary cancellation action is for Draft orders belonging to your current company, without a linked invoice or posted/unverified inventory impact. If a guard blocks cancellation, follow the message and involve the responsible billing or inventory administrator.
Do not change the status directly, delete an invoice, or remove transaction history to make the order eligible.
I cancelled the payment screen, but the order is Open
Proceed To Payment can finalize the order and create its invoice before collecting payment. Cancel on the payment-entry screen is not the whole-order cancellation action and does not necessarily undo finalization.
Review the actual sales-order status, invoice status, balance, and related payment records before taking further action. Do not assume a payment succeeded or failed solely because a screen closed.
The work order is Closed, but the invoice is still Open
Closure and payment collection are separate. A work order can close after finalized billing has been reviewed while payment remains outstanding. Check the invoice balance and payment records to determine what remains payable.
Internal materials
Adding a material did not reduce stock
That is expected for an internal work-order item. Saving it does not deduct or reserve stock. Use the explicit material-issue action when the material should be issued. Completion and closure do not issue it automatically.
Issue Materials is unavailable
Check that this is eligible internal service work and that the status is Authorized, In Progress, or Completed. Issuance is not available while On Hold or after closure. Review whether the item already has posted usage details.
If the item or its inventory configuration is unsuitable, ask your inventory administrator to review it. Do not substitute an unrelated item or alter tracking settings merely to bypass the restriction.
Stock, unit, cost, or warehouse validation blocks the issue
Review the exact message. The issue requires valid item configuration, matching quantity units, a defined cost, a single configured primary warehouse stock record, and sufficient stock after considering reservations.
Do not enter stock quantities or costs merely to make a check pass. Ask the inventory administrator to confirm the underlying records and physical stock.
Dockit says usage is already posted
Open View Item and inspect Qty Issued, Stock Unit, Unit Cost At Issue, Total Material Cost, Issued From, Issued On, and Issued By.
Do not post another issue or create a duplicate line to overcome the message. The current workflow does not provide a staff reversal or partial-return action. Escalate incorrect usage with the recorded details and what actually happened.
Only part of the material quantity was used
The current internal issue workflow posts the full line quantity once; it does not provide partial issues against that line. Before issuance, correct an unissued quantity through the permitted edit action where appropriate. If usage has already been posted, ask your administrator for a reviewed correction rather than posting a second or negative issue.
Completion and closure
I clicked Close, but the work order is still Completed
The ordinary Close button exits a view. Use Close Work Order near the top of the completed work-order screen to perform business closure, then complete its confirmation and any requested explanation.
A Draft billing order blocks closure
Review every linked billing order. A later Draft still needs resolution even if an earlier order is finalized. Finalize appropriate billing through the normal workflow or arrange a valid correction. Cancelling an order does not settle its underlying chargeable items.
No additional charge needs confirmation
Use the explicit confirmation only when no additional charge is genuinely required. The no-charge path requires resolved Included or Waived items and no active billing order. Do not waive chargeable work just to close the record.
Internal material usage blocks closure
Review each material line. Materials actually used require complete posted usage records. Unissued materials not used need to be resolved through the permitted item actions. Do not issue unused stock simply to pass the closure check.
An explanation is required for completion exceptions
Review the exception and explain why closing is appropriate, including any agreed follow-up. If the outstanding issue should prevent closure, keep the work order open for review instead.
Dashboard and reporting
Clicking a Summary View count does nothing
The summary report's cards are read-only. Open Service Management → Dashboard and select its tiles to open work-order lists.
The summary shows no activity, but the dashboard has work
Check the date range displayed at the top of the summary. Activity totals use the selected dates; current operational counts do not. A historical range can therefore show no period activity while the current snapshot still contains work requiring review.
Completion appears on a different day from when the work finished
The summary groups completions by when completion was recorded in Dockit, not the actual Work Finished On date. These dates can differ when entering a returned worksheet.
The cancellation count is zero after cancelling a sales order
The summary's Work orders cancelled metric counts work-order cancellations, not sales-order cancellations. Cancelling billing leaves the work order's status unchanged.
The dashboard count differs from the queue list
Confirm the current company, refresh the dashboard, reopen the queue, and check for list filters. Records may have changed between views. If the mismatch remains, report the tile name, count, and affected work-order numbers.
The service report says Work performed by: Not recorded
The performer was not supplied in the saved completion record. Completed By identifies who recorded completion and does not automatically establish who performed the work. Ask the responsible staff member if clarification is needed.
A report link has expired
Launch the report again through Dockit rather than reusing an old access link. Use the approved print or CSV export when you need a retained copy, and store it according to your marina's information-handling procedures.
When to stop and ask for help
Stop before retrying if a billing or stock-changing action has an unclear result. Inspect the work order, linked orders, invoices, or usage details first. Repeated clicks or duplicate records can complicate recovery.
Give your administrator:
The current company and work-order number.
The affected item and sales-order or invoice number, where relevant.
The action selected and approximately when you selected it.
The exact message and a cropped screenshot.
What you expected to happen and what the record now shows.
Do not include card details, passwords, or private report-access links. Preserve the existing records and history while the issue is investigated.
