Use this article to identify the appropriate record and next step when yard work does not appear as expected or an action is unavailable. Check the current company, vessel and record reference before making changes.
If the outcome of an action is uncertain, check the saved records before retrying. A timeout or missing confirmation does not prove that nothing was saved. Do not repeat an invitation, billing transfer or physical movement solely because a success message was not displayed.
Should I start with a booking or a work order?
For a new storage arrangement, start at Yard Management → Storage Bookings → New Storage Booking. The booking brings together the storage journey, including the request, agreement and related operational work.
A work order records the work staff need to perform. Standalone yard work does not necessarily require a new storage booking. Use Work Orders for that work rather than creating a duplicate storage arrangement.
For an existing storage booking, review its linked arrival or departure work before creating another work order.
Where did the dashboard workflow guide go?
Select the light-bulb Tip heading to expand How yard storage works. Select it again to collapse the guide. The workspace shortcuts remain available below it.
The guide explains the typical journey; it is not the live status of a selected booking. Open the booking itself to review its current stage.
Why is a booking still In storage when departure is scheduled?
This is expected. Scheduling departure records a plan; it does not release the vessel. The vessel remains in storage until its actual release is recorded through the supported movement workflow.
To change the plan, use the available departure scheduling or rescheduling action. Do not record a release for a vessel that is still physically in storage.
Why does an issued agreement still need acceptance?
Preparing or issuing an agreement and accepting it are separate steps. Review the agreement's current revision and acceptance status. Opening the customer's review link does not itself accept the agreement; the customer must complete the confirmation on the review page.
Do not treat an invitation's Sent result as evidence of acceptance or payment.
The customer has not received the acceptance invitation
Confirm the intended customer's email address and check for typing errors.
Ask the customer to check spam, junk and any email-forwarding or alias service.
Review the recorded invitation outcome before sending another request.
If the outcome is uncertain or an error was reported, give the administrator the agreement reference, approximate send time and exact message.
An email provider accepting a message does not guarantee delivery to the inbox. A forwarding address can also receive a message without forwarding it to the expected destination.
If the review link has expired or is unusable, follow the supported replacement-invitation workflow. Do not copy another customer's link, expose acceptance tokens, or change an agreement's acceptance state to bypass the problem.
Why is scheduling or rescheduling unavailable?
Review the work order and the specific movement job, not just the booking header. Scheduling checks include company access, vessel and storage-area links, the configured yard operating mode, work-order status and movement readiness.
The work order must be eligible for scheduling; an On Hold work order is not cleared to schedule.
The movement must not already have started, completed or been cancelled.
A job with a detailed appointment needs that appointment reviewed before its planned movement date is changed through this route.
Agreement checks depend on the work order and the scheduling route. Read the actual validation message.
A changed date must satisfy the applicable yard working-calendar checks.
If the message says that the schedule or agreement changed while the dialog was open, close it, refresh the record and reopen the scheduling action. Do not overwrite another staff member's change without reviewing it.
Do not change company settings, remove agreement links or complete unfinished work merely to make an action available.
Can a departure be planned before the agreed storage end date?
The agreement-backed departure scheduling dialog requires explicit early-departure confirmation and a reason when the planned date is before the accepted storage end date.
Review the agreed end date, enter the intended planned date, and complete the early-departure fields when applicable. This scheduling action does not change agreement dates, prices or charges. Handle any commercial adjustment separately through the approved agreement and billing workflows.
Keep Scheduled Date controls whether the movement is protected from automatic carry-forward. It does not override scheduling prerequisites or record completion.
Does every yard work order require an agreement?
No. Work orders have an agreement-requirement setting, and company settings can determine whether acceptance is needed before scheduling. These settings must be configured rather than left undefined.
However, the booking's agreement-backed departure action operates on a linked storage agreement and applies its revision and date checks. It is not the route for unrelated work without an agreement. Use the appropriate work-order or movement workflow and ask an administrator if the requirement appears inconsistent.
Why is a future movement missing from today's map queue?
The operational movement queue shows due or overdue work rather than every future appointment. Confirm the selected area, planned movement date and job status before concluding that the movement is missing.
Review future plans through the booking or scheduling workspace. Do not change a valid future date to today merely to make the job appear on the map.
The map marker or vessel details look wrong
Stop before recording another movement. Confirm the booking, agreement, work order, selected job, vessel and storage area all refer to the intended operation.
If the header identifies one vessel but the detail section identifies another, reopen the record from its list. If the mismatch remains, report it to the administrator. Do not assume that either part is safe to act on.
A map marker represents a saved location, not proof that the physical yard matches it. Arrange corrections through the supported workflow; do not record a false release and arrival to reposition a vessel.
If map access has expired, reopen the map from Dockit rather than reusing or sharing an old access link.
Why do dashboard counts overlap or differ from a list?
The tiles count different things. Some count requests or vessels; the daily and overdue yard-work tiles count distinct work orders. One work order can appear in both Today and Overdue when different linked jobs have different planned dates.
Refresh the dashboard, check the list filters and review the actual dates on the linked jobs. A blank Planned Work Date on a movement-related work order does not necessarily mean that its movement jobs are unscheduled.
Other is an explicit operational classification, not simply a description of every work order without a haulout or launch job.
Do not add tile counts together to calculate total bookings or total vessels. A zero acceptance or billing follow-up count is not proof that every agreement is accepted or every invoice is paid.
A catalogue product or service cannot be found
Type a shorter search term or try the description, category or part number.
Confirm that the product belongs to the current company and is Active.
For inventory products, check the company's Retail & Inventory Management option with an administrator.
Remember that one-off products are excluded from reusable catalogue choices.
Use Add One-Off Item for an appropriate one-time labour or non-stock charge. Do not substitute a one-off for a stocked product that needs inventory handling.
For a service used repeatedly, ask an authorized staff member to maintain the reusable entry in Services & Fees.
The services-and-fees import failed or the result is unclear
Use the template supplied beside the import button. Check its column headings, values and sample rows before uploading. Review any validation messages and inspect the catalogue for records already created before trying again.
Do not assume that re-importing the same file updates existing records or prevents duplicates. Ask the administrator to confirm the importer's matching rules before retrying or importing a large catalogue.
Report the file name, approximate import time and exact message. Share the file only through an approved support channel if it contains private business information.
Why is completed work still awaiting billing review?
Operational completion and billing are separate. Review the work-order items for unresolved billing decisions, chargeable items awaiting transfer, linked Draft sales orders and any required no-additional-charge confirmation.
Check what the agreement or another charge already covers before preparing additional billing. Do not create a duplicate charge just to clear a queue.
Prepare Billing is not payment collection. Proceed To Payment is not a preview action: it can advance billing before a payment is collected. Inspect the saved sales order and invoice if the outcome is uncertain.
Cancelled Draft billing records may remain linked as history. Use the supported preparation and correction workflows rather than deleting those links.
The report does not match the dashboard
First distinguish activity during the selected period from the current operational snapshot. Check the company, date range, timezone, current record status and the unit being counted.
A report counting individual movement jobs is not directly comparable with a dashboard counting distinct work orders. Refresh both views close together and compare their actual definitions, not just similar labels.
Report missing completion dates for review. Do not invent dates or change completed records solely to make totals agree.
What should I include when requesting help?
The current company and screen or menu used.
The booking, agreement, work-order or job reference, as applicable.
The action attempted and the exact error or unexpected result.
The approximate time and relevant planned or reporting dates.
Whether you refreshed and checked the saved result before retrying.

Do not include passwords, payment-card details, private acceptance links, report access tokens or unrelated customer information. Leave the records unchanged while the administrator investigates unless an authorized correction has been agreed.
